Author Guidelines
Author Guidelines
Prepare, submit, and revise your scholarly manuscript for publication in Wal'afiat Hospital Journal (WHJ). These guidelines are aligned with the supplied WHJ manuscript template and journal editorial information.
Download the WHJ manuscript template
The current Word template is available from the editorial office. A revised English-publication edition is being prepared; follow the instructions below when the template contains outdated wording.
01 · Language and publication policy
WHJ accepts manuscripts submitted in Indonesian or English. Starting with Volume 7, Number 2 (2026), all accepted articles will be published in English, regardless of the language used at initial submission.
Authors submitting in Indonesian should prepare to provide and verify a complete English version during the editorial process. The arrangement, responsibility, and deadline for translation or language editing will be communicated by the editorial office. Acceptance is based on scientific and ethical merit, not the language of initial submission.
02 · Types of manuscripts
WHJ welcomes scholarly contributions in medicine, clinical practice, and healthcare, provided that they fit the journal’s objectives and scope:
The detailed structure may vary by article type. The template primarily describes an original research article; authors of other categories should preserve relevant journal formatting and adapt section headings with editorial guidance.
03 · General manuscript preparation
The template contains inconsistent margin instructions: one section says 2.5 cm on all sides, while another refers to the Word “Moderate” preset. Use 2.5 cm on all sides provisionally until a revised WHJ template resolves this difference. Authors should not alter the template’s prescribed typography and spacing without editorial permission.
04 · Title, authorship, and abstract
- Title: no more than 14 words in the current template; centered, bold, 12 pt Times New Roman, title case. The final published title must be in English.
- Author information: list all authors in the correct order, institutional affiliations, email addresses, and identify one corresponding author with contact details. Author order and substantive contributions should be agreed upon before submission.
- Abstract: maximum 250 words in one paragraph; summarize background, objective, methods, results, and conclusion. The template uses 10 pt Times New Roman and single spacing for abstract text.
- Keywords: 3–5 terms, separated by semicolons, without a final period. Use appropriate medical indexing terminology where possible.
The supplied template displays both “ABSTRAK” and “ABSTRACT.” Because articles will be published in English from Volume 7, No. 2 (2026), the English abstract is required for the final publication version. Requirements for an additional Indonesian abstract should be confirmed in the revised template.
05 · Manuscript organization
For original research, use the structure established in the WHJ template:
Present the clinical or health problem, its significance, relevant prior research, the knowledge gap, and the study objective. The template suggests approximately 1–1.5 pages.
Identify the design, setting and period, population/sample or data sources, sampling, instruments, procedures, and analysis as appropriate. Include ethics approval and consent where relevant. The supplied template recommends concise narrative paragraphs.
Report findings that address the research objectives; provide adequate supporting data, tables, and figures. Avoid repeating all data verbatim in the text.
Interpret major findings, compare them with relevant evidence, explain implications and limitations, and avoid merely restating the Results section.
Answer the stated objective and discuss appropriate practical or research implications without unsupported claims.
Recognize funding, institutional support, and contributions that do not qualify for authorship.
Use numbered Vancouver-style references in order of first citation.
For literature reviews, case reports, lectures, book reviews, or letters, use a manuscript organization appropriate to the article type while retaining the relevant title, abstract, disclosure, and reference requirements.
06 · Tables, figures, and reporting quality
- Present tables in an editable form wherever possible; number them consecutively and place descriptive titles above each table. The WHJ template illustrates a horizontal-rule/open-table style.
- Number figures consecutively, center them, and place captions below each figure. The supplied template specifically mentions JPG images; other formats should be confirmed with editors.
- Use legible labels, consistent terminology, clearly identified units, and appropriate explanations of statistical results.
- Remove or anonymize information that could identify patients unless explicit publication consent and applicable approvals have been obtained.
- Use recognized reporting guidelines appropriate to study design, such as CONSORT, STROBE, PRISMA, or CARE, where applicable; the checklist or protocol requirements should be confirmed by the editor.
07 · References and originality
- Use the Vancouver citation and reference style. References are numbered in order of first appearance, not alphabetically.
- The current WHJ template calls for more than 10 references, with an emphasis on primary sources and a target of 80% primary references published within the previous five years. Apply this sensibly when foundational references are essential.
- Use a reference manager such as Mendeley, Zotero, or EndNote to maintain consistency.
- Submitted work must be original and not simultaneously submitted or published elsewhere. Sources, reused material, and permissions must be disclosed.
- The existing template states a Turnitin similarity limit of 30%, with screening after peer review. Similarity scores are not a substitute for editorial evaluation of plagiarism, duplication, or inappropriate citation.
08 · Medical research ethics and disclosures
- Report approval or exemption from an appropriate research ethics committee when required, including committee identity and reference number when applicable.
- Describe informed consent, privacy protections, and safeguards for patients or research participants; obtain publication consent for identifiable case details or images.
- State funding sources, conflicts of interest, and the roles of contributors. Where relevant, declare clinical trial registration and data availability.
- Do not fabricate or manipulate data, images, findings, or references. Disclose corrections and important errors promptly.
- Any use of generative AI tools in manuscript preparation should be disclosed where relevant, checked for accuracy, and must not replace human accountability or be listed as authors. WHJ’s final AI-policy wording should be coordinated with its dedicated policy page.
09 · Online registration and submission
All manuscripts should be submitted through the WHJ journal website and its OJS workflow. The following sequence reflects the general OJS 3.4 interface; labels may vary slightly according to your account and current journal settings:
Register or log in to the WHJ site. Ensure that your account has permission to submit a manuscript.
Choose the relevant section, confirm the submission requirements, and follow the on-screen prompts.
Upload the editable Word manuscript and any requested supplementary files. Remove author-identifying information from review files when required for double-blind review.
Provide complete title, abstract, keywords, author names, affiliations, contact details, and other requested metadata. Use English metadata as required for the final published record.
Verify the files and metadata, complete the submission, and monitor progress through the author dashboard.
10 · Peer review, revision, and resubmission
WHJ applies a double-blind peer-review process. Editorial screening may precede review. Reviewers and editors assess scientific relevance, methodological quality, reporting clarity, ethical compliance, and contribution to the journal’s scope.
- Read decision letters and reviewer comments in your OJS submission record. Prepare a revised manuscript and a clear, point-by-point response to comments.
- Identify changes in the revised file as instructed by the editor, and upload it to the correct revision stage within OJS.
- Do not create a new submission for a revised manuscript unless the editor specifically requests it.
- Acceptance, revision, or rejection decisions remain the responsibility of the editorial team.
The sample “Author Guidelines” page supplied as a design reference comes from an older OJS installation. Its exact menu labels and sequence should not be copied unchanged into WHJ OJS 3.4.
11 · Final English publication and author proofs
Beginning with Volume 7, Number 2 (2026), accepted papers will be prepared and published in English. Before publication, authors must verify that the final English title, abstract, body text, tables, figures, and references accurately represent the approved scholarly content.
- The author remains responsible for medical terminology, factual accuracy, and intended meaning after translation or language editing.
- Editorial or production staff may request language corrections and proof review before final publication.
- Publication dates, typesetting, and any translation arrangements are subject to editorial coordination; these guidelines do not promise a fixed review or publication turnaround.
12 · Publication fees and author support
Consult the separate Author Fee page for the current charges and historical fee policy. As previously established for WHJ, regular publication is listed at IDR 350,000 and fast-track service at IDR 500,000 beginning with the December 2024 issue; these terms should be verified against the current published fee policy.
